1.   How do I join the Democratic Governance Experts Roster?
Please note Experts are added to each Roster by Invitation ONLY. If you would like to be included in any of our rosters, kindly send an email to dgg.roster@undp.org with the subject: "Candidate - Expert Roster on ...". We will contact you with information on our next call for applications once it has been launched.

2.   Who is the roster Manager? How do I contact my roster manager?
The roster management team is composed of a roster manager as well as roster focal points for each roster. For all roster communications, kindly contact the specific focal point at the address below:

3.   Where do I access the roster?
If you have been invited to join the roster, you will the link in the invitation letter sent to you.

4.   I lost my password, how do I access the roster?
Enter your email address in the “Forgot Password” section of the roster log-in page to have a new password sent to your email. If you get the “E-mail not found” error message, you have either entered your email incorrectly or you have not yet created a profile in the roster. Check your mailbox for your invitation letter and follow the instructions provided there.   

5.   How is my profile activated? Why is this important?
Our roster management team activates your profile once you have provided all your profile details, including skills and areas of expertise, and once we have received all 3 of your letters of reference.
This is important because your profile is not visible or searchable in the roster by potential recruiters until it is activated.

6.    How do I know if my profile has been activated?
Our roster management team activates your profile once you complete it (see 4 above). To confirm activation, kindly contact your roster focal point at the email address specified above. Please be patient as we may have delays in responding to you. Also, we will send a reminder / notice to all experts who do not have an active profile, specifying if your profile is not fully completed and/or if all references have not been received within a month of the creation of your profile.

7.   I have been invited to join 2 or more UNDP DG Rosters of Experts. I have entered my information for the first one, but I am not sure how to enter the information for the other/s. Do I need to create a separate password and profile for each roster?
You do not need to create a separate password and profile for each roster. You need only one profile on the WIDE platform, regardless of how many rosters you are invited to join. As you are invited to join additional rosters, you will be able to add/select areas of expertise relevant to each roster. Make sure you select your areas of expertise for each of the rosters or your profile will not be activated.

8.   I am already a member of another roster on the WIDE platform; do I have to recreate my profile?
No, you use the same profile for your membership in multiple rosters. The skills and areas of expertise sections allow you to toggle between rosters to make selections for each. You must select different areas of expertise and skills for each roster that you are a member of.

9.   I have completed my profile, but have not received any confirmation letter. How do I know if I am really in the roster?
You will not receive any confirmation beyond your invitation email. You are in the roster if you are able to log-in to your profile on the WIDE platform. However, your profile will not be activated (see4 above) until you have fully completed your profile. You may confirm that your profile has been activated by contacting your roster focal point at the email address specified above.
We will also send you a reminder / notice if your profile is not fully completed and/or if all references have not been received within a month of the creation of your profile.

10.   Do experts receive a message when their membership becomes activated / searchable?
No, your profile is automatically activated by our roster management team once you fully complete your profile details (see 4 above); and we have received all your references. For confirmation, kindly contact your roster focal point at the email address specified above.
We will also send you a reminder/ notice if your profile is not fully completed and/or if all references have not been received within a month of the creation of your profile.

11.    With regard to the uploaded CVs: is it advisable to upload a separate CV for each roster or a combined one (in addition to the P11)?
A single CV is adequate if it details your work experience for all the rosters of which you are a member. Otherwise, upload separate CV’s detailing relevant work experience for each roster.

12. I am attaching my detailed CV to my profile; do I need to also enter work experience details in my profile?
No. The sections on your profile that you are required to complete are highlighted in gray, including skills and areas of expertise. As long as you upload a detailed CV, you are not required to complete the other, optional sections such as work experience and education. However, keep in mind that doing so will make it easier when Country Offices are searching for suitable candidates as they can easily see your relevant experience without having to download your CV.

13.  I am unable to add any work experience to my profile, please help. 
The work experience section allows you to identify the institution, countries of experience, roles, start/end date, and details for each of your work experiences. If you have already included all this information on your uploaded CV, then you may skip this section.

14.  With regard to the selectable skills in WIDE, only 15 can be selected. Should I select main skill sets or sub-skills?
Only select main skill sets if you have experience in all the sub-skills in that area. Otherwise, select sub-skills.

15.  I have asked my referees to submit their reference letters, how can I confirm if this has been done? 
First, check with your references. Then you may confirm by contacting your roster focal point at the email address specified above. We will also send you a reminder / notice if your profile is not fully completed and/or if all references have not been received within a month of the creation of your profile.

16.  I am a member of 2 rosters; can I use the same referees for the two rosters? 
You may use the same referees, but they must write separate letters for each roster specifically addressing what qualifications make you suited for each.

17. Can I invite a colleague to join the roster? 
Do let your colleagues know abou the roster, and ask them to send an email to dgg.roster@undp.org with the subject: "Expert Roster on ..." . Once we receive their message, we will contact them with information on our next call for applications to join that roster.

18. How do I note my availability on my profile? 
Select “Availability” at the top of the profile editor and enter/save your dates of availability and additional comments.

19. Can I be removed from the roster? 
We conduct a review of experts in the roster ona periodic basis and also gather evaluation reports from any assignments held with UNDP in the past or since the expert has joined the roster. Should it come to light that the expert has acted in an unprofessional manner or was found unable to provide the standard of services expected of him/her as a member of this roster, the expert will be notified and removed from all the DG expert rosters.

Experts who have been invited to join the roster and who have not joined or created a profile are also removed from the roster. The roster management team will contact all experts in this situation and give them a reminder before their removal from the list of qualified experts is finalized. Experts removed through this process, will need to reapply again to future calls for experts in order to be considered for inclusion in the roster.

20. How long are experts included in the roster?
Experts are included in the roster for a period of 2 years. At which point our roster management team could deactivate all profiles and issue a new open call for applications. Previous roster members are encouraged to reapply, emphasizing their former membership.

21. I have not yet been contacted for any assignments. Why not?
Membership in the roster does not guarantee offers for assignments. Roster searching and recruiting is conducted at the country level. Only members who are short-listed for assignments will be contacted to provide their details on availability and fees.

22. How can I improve my chances of getting selected for assignments?
Make sure to carefully select your skills and areas of expertise, as these are the criteria recruiters use to search the roster for specific candidates. Additionally, candidates are evaluated primarily by their CV’s, so be sure to upload an up-to-date and detailed CV that fully elaborates on your work experience.

23. I am an expert on the roster and have been activated, now what? How does the DG roster of experts work?
The Democratic Governance roster of experts is set up to facilitate UNDP country offices’ access to expertise that they need quickly. Country offices search directly through the experts’ profiles in the roster for candidates that have the qualifications required in their consultancy ToRs. If an expert is found to meet the requirements for a particular consultancy, the country office will contact he expert and share with him/her the ToR for the consultancy and request a financial quotation/proposal from the expert. If the country office is satisfied with the expert’s proposal, then the expert is contracted and assigned to the CO for the duration specified in the contract. So it is paramount that experts’ profiles remain up to date and are evidenced in their CV/P11.
